Meetings

Work → Meetings shows the workspace's meetings, when meetings are switched on for the workspace. (If they aren't, the page says so.)

The calendar

  • Upcoming (soonest first), Past (latest first) or All.
  • All projects narrows to one project's meetings.
  • Meetings are grouped by day, each with its time, title, project and location, and a status: Scheduled, Held, Minutes sent or Canceled. ↻ marks a recurring meeting.
  • Show more loads earlier or later meetings.

A meeting

Click a meeting to open it:

  • when, how long, whether it recurs, and its status;
  • project, location, organiser and attendees (optional attendees are marked);
  • the agenda;
  • the notes;
  • the action items — the issues the meeting produced. Click one to open it.

The agenda

The organiser (and workspace administrators) can Edit the agenda: it's the same editor as for Docs — headings, lists, checklists, tables and so on. Changes are saved as you type; Done closes the editor.

Notes and minutes

The notes are what's written during the meeting, in plain text.

  • Before they're sent out, only the organiser and others who can edit the meeting see them, and they can write in them. The app saves as you type (Saving … / Saved).
  • Once they're sent out (circulated from the web), they're the meeting's record: everyone can read them, and nobody can change them.
  • If you can't edit the meeting, you'll see the notes once they've been sent out.

Drafting the minutes

When your Félagi has minute drafting switched on, the organiser sees Draft minutes and action items beside the notes. Félagi drafts, from the notes, a summary, the discussion, the decisions and the action items, with an owner and a due date where the notes say so, and lists anything it found unclear.

Nothing is saved until you've read it. Edit the summary, decisions and action items, remove the ones that aren't, and Accept: the notes become the minutes, and each action item becomes an issue — assigned to the attendee it names, or unassigned when the name matches nobody. The open questions are shown to you and never saved.

The draft is written by a language model on your Félagi server, which your administrator chose to switch on; without it the button isn't there.

On the web

Circulating minutes and sending invitations are done on the web. A quick meeting can be set up from a channel with /meeting (Chat); the rest of scheduling is on the web. Invitations and circulated minutes arrive in your inbox, and open the meeting here.
